Rental Agreement

ARENA, MULTI-PURPOSE ROOM & GYM RENTAL AGREEMENT 

PLEASE READ CAREFULLY 

This Rental Agreement (the "Agreement") is made between: 

THE HOCKEY FACTORY LTD, operating as The Hockey Hub ("Hockey Hub") 

AND 

The "Licensee" 

SCHEDULE & RENTAL PERIOD 

The designated facility at The Hockey Hub YYC will be available as specified in Schedule A (the "Rental Period"). 

• The Licensee may use the facility only for the permitted activities outlined in Schedule A. 

• Rescheduling: Requires at least seven (7) days' written notice to info@hockeyhubyyc.com. The Hockey Hub will attempt to accommodate requests but is not obligated to do so. 

• Each booking in Schedule A is considered a separate Rental Period unless it spans multiple consecutive days. 

FEES & PAYMENT 

• Single Booking: Full payment is due upon execution of this Agreement. The Hockey Hub will not reserve or provide access until payment is received. 

• NSF Fees: A $50 charge applies to any returned cheques. 

• Overdue Payments: Subject to 1.5% monthly interest (18% per annum). 

USE OF FACILITIES 

ICE SURFACE 

• Grant of License: The Licensee is granted access to the booked Ice Surface, including dressing rooms (unless otherwise stated in Schedule A). 

• Compliance: The Licensee must adhere to this Agreement, the Facility User Agreement, and all posted or communicated rules. 

• Access: The Licensee has exclusive access to the ice surface and dressing rooms unless otherwise agreed. Common areas are shared spaces and must be used respectfully. The Hockey Hub is not responsible for lost, damaged, or stolen items. 

• Right to Refuse: The Hockey Hub reserves the right to refuse rental for any reason. 

• Condition of Ice: The Hockey Hub allocates 15 minutes between bookings for routine ice maintenance. A $50 resurfacing fee may apply if the Licensee causes delays affecting the next group. 

• Ice Resurfacer: No one is permitted on the ice while the resurfacer is in operation. 

• Footwear: Only appropriate footwear (hockey skates, figure skates, or ice cleats) is permitted on the ice. 

• Equipment: All equipment must be safe, properly maintained, and compliant with industry standards. Helmets are mandatory unless explicitly approved by the Hockey Hub. 

• Dressing Rooms: Access is available 30 minutes before and must be vacated within 25 minutes after the session. 

• Spitting: Strictly prohibited anywhere in the facility. 

MULTI-PURPOSE ROOM 

• Grant of License: Access to the booked Event Room as specified in Schedule A.  

• Compliance: The Licensee must adhere to all rules outlined in this Agreement. 

• Access: Exclusive access during the rental period unless otherwise stated. Common areas must be used respectfully. The Hockey Hub will make every effort to provide access to the space 15 minutes before and after for setup and teardown. 

• Right to Refuse: The Hockey Hub reserves the right to refuse rental for any reason. 

• Condition: Outside food and beverages are permitted, but alcohol is strictly prohibited. A minimum $50 cleaning/repair fee may apply for excessive mess or damage. 

GYM 

• Grant of License: Access to the booked Gym as specified in Schedule A. 

• Compliance: The Licensee must adhere to all rules outlined in this Agreement. 

• Access: Exclusive access during the rental period unless otherwise stated. Common areas must be used respectfully. 

• Right to Refuse: The Hockey Hub reserves the right to refuse rental for any reason. 

• Condition: A minimum $50 cleaning/repair fee may apply for excessive mess or damage 

• Gym Rules: 

• Clean equipment after use. 

• Put equipment away after use. 

• Do not wear wet or muddy shoes; a second pair of clean shoes is required. 

• Use safety clamps on equipment. 

• No food is allowed in the gym area except for water. 

• Limitations: Gym rental does not include access to the dry pad or hockey treadmill unless explicitly stated in Schedule A. 

TERMINATION 

• Automatic Termination: The Agreement ends at the conclusion of the Rental Period unless terminated earlier. 

• Conflict: The Hockey Hub may terminate with written notice if a conflicting event requires use of the facility. A refund will be provided if rescheduling is not possible. 

• Cancellation by Licensee: 

• 30+ days' notice: No penalty. 

• Less than 30 days: Non-refundable. 

• Breach of Agreement: The Hockey Hub may terminate and remove personnel if the Licensee violates any terms. 

TERMS & CONDITIONS 

CONDUCT 

• Facility Condition: Licensee must leave all facilities in the same or better condition. Additional cleaning/repair fees will be charged, including a 20% administration fee. 

• Proper Conduct: Licensee is responsible for ensuring respectful behavior. The Hockey Hub reserves the right to remove anyone behaving inappropriately. 

• Sticks & Pucks: Permitted on the ice surface only. 

• Compliance: If governed by a sports organization, the Licensee must remain in good standing. 

• Drugs & Alcohol: Prohibited unless written approval is granted for special events. 

• Smoking & Tobacco: Permitted only in designated smoking areas. Chewing tobacco is not allowed inside the facility. 

• Meetings & Orientation: Required as requested by the Hockey Hub. 

• Food: Permitted in the Multi-Purpose Room only. Alcohol is prohibited unless written consent is provided. 

HEALTH & SAFETY 

• Accidents & Injuries: Must be reported immediately to Hockey Hub YYC. 

• Athlete Safety: Licensee is responsible for participant safety. The Hockey Hub may halt unsafe practices. 

• Spectators: Licensee is responsible for managing spectators and addressing disturbances. 

• Pets: Not allowed, except for service animals. 

• Facility Work: Licensee may not perform maintenance, repairs, or alterations. 

• First Aid: Licensee must provide its own first aid kits. 

• Children: Must be supervised at all times by a parent or designated adult. 

TRAFFIC & PARKING 

• Traffic: Patrons must comply with all traffic laws on the premises. 

• Parking: 

• Parking in reserved/no-parking areas is prohibited. 

• Violators may be fined and towed at their expense. 

• Overnight parking is prohibited without prior written consent. 

INSURANCE 

• Liability: The Hockey Hub’s insurance does not extend to the Licensee. 

• Responsibility: Licensee is liable for damages, injuries, and any legal claims arising from facility use. 

• Personal Insurance: Individuals should confirm rental coverage with their insurer. 

• Commercial General Liability Insurance: 

• Organizations must maintain $10,000,000 coverage. 

• A Certificate of Insurance (COI) naming The Hockey Hub YYC as an additional insured must be submitted at least ten days before the rental period. 

INDEMNIFICATION CLAUSE 

The Licensee agrees to indemnify, defend, and hold harmless The Hockey Hub Ltd., its directors, officers, employees, agents, and contractors from all claims, liabilities, damages, losses, costs, expenses, and legal fees arising from: 

• Injury, death, or damage due to the Licensee’s use of the facilities. 

• Actions or omissions of the Licensee, its personnel, participants, spectators, or representatives. 

This indemnification applies regardless of whether claims arise from the Licensee’s negligence or third-party actions. 

By booking, the Licensee acknowledges and agrees to all terms outlined in this Agreement.
